The starting point

In most restaurants we visited, one order was written down several times. A waiter took it on paper, someone typed it into a till, the kitchen read a printed ticket, and at night the owner rebuilt the day’s sales from receipts. Every copy was a chance to lose an item, miss a charge or get the stock count wrong.

We built ScanSewa so that an order is entered once and everything else follows from it.

What we built

ScanSewa is a point-of-sale and operations platform for restaurants, cafés, hotels and shops. It has separate parts that share one menu, one stock count and one set of numbers:

  • Point of sale for fast counter and table checkout, with add-on suggestions at the moment of the order.
  • QR ordering and a customer app, so guests browse a live menu, order and pay from their own phone with no app to install.
  • Smart billing that works out VAT per item, splits bills and keeps clean invoices you can find again at audit time.
  • A kitchen display that sends each order to the right station’s screen, colour-coded by wait, so there are no paper tickets to lose.
  • Rooms and front desk for hotels, with live room status and one guest folio, so a meal charged to a room lands on the right bill.
  • Inventory and recipe costing: stock comes off by recipe as items sell, and owners see the real cost of every dish.
  • Loyalty, with points that build up at checkout so regulars are recognised without extra work at the counter.
  • Tasks and attendance: shift checklists, staff attendance and schedules the team can see.
  • Reports and multi-branch: sales, best sellers and table turnover per branch, with menu and price changes pushed to every branch at once.

How it works in a day

A guest scans the QR code on the table and orders. The order appears on the kitchen display for the right station and on the bill at the same moment. As dishes are served, their ingredients come off stock by recipe. When the guest pays, by cash, card, eSewa, Khalti or connectIPS, the invoice is stored with VAT worked out line by line. At closing, the owner opens the dashboard and sees the day’s sales, best sellers and table turnover without adding anything up by hand.

For hotels, the same order can be charged to a room. It joins the guest’s folio at the front desk, so check-out shows one complete bill.

Who uses it for what

  • Restaurants and cafés: QR ordering, table management, the kitchen display, recipe-costed inventory and daily sales reports.
  • Hotels: room status, front desk and guest folios next to the restaurant and room service, billed and reported together.
  • Retail and kirana shops: barcode checkout, live stock, customer loyalty and one view across shops.
  • Pharmacies, grocery stores and salons: the same core of point of sale, billing, stock and reports, set up for how each counter works.

Built to be checked

Owners should be able to see the product before they commit to it. ScanSewa has a public dashboard demo at scansewa.com with simulated figures and no customer data, so anyone can click through revenue, orders, popular dishes and table status. When a business is ready, we set ScanSewa up with its own menu or rooms during a demo, so it can judge the product on its own workflow.

What’s next

ScanSewa keeps growing from the counters it runs. The same core already covers restaurants, hotels and shops, and each new kind of counter is set up from that core rather than built from scratch. To see it with your own menu, book a demo or read more on the ScanSewa product page.
